Bulk Schedule a Month of Social Posts in Under Ten Minutes

· 5 min read

There are two ways to schedule a month of social media content. The first: open the compose screen thirty times, write thirty captions, pick thirty images, set thirty dates and times. That takes an afternoon. The second: open a spreadsheet you already maintain, save it as a CSV, upload it, map the columns, preview, confirm. That takes seven minutes.

If you are an agency managing multiple clients, a brand with a content calendar that lives in Excel, or anyone who plans content in batches rather than one post at a time — bulk scheduling via CSV is one of those features that, once you use it, makes you wonder how you ever lived without it.

How Bulk Scheduling Works: Three Steps

LigiComms follows the same three-step wizard pattern used for contact imports — upload, map, confirm — because that pattern has proven intuitive for anyone who has ever used a spreadsheet.

Step 1: Upload

Drag and drop a CSV or XLSX file, or click to browse. The file should contain your posts — one row per post, with columns for the caption, scheduled date/time, channel, hashtags, media URL, and any other fields you want to set. Not sure what the file should look like? Download the Excel template — pre-formatted with all supported columns, sample data, and notes on acceptable values.

Step 2: Map Columns

Your spreadsheet might call the caption column "Post Text" or "Content" or "Message." It doesn't matter. The column mapper lets you match each column in your file to the corresponding field in LigiComms. The system auto-matches common column names (it will guess that "Caption" maps to the caption field), and you manually fix anything it got wrong.

This step is critical because it means you don't need to restructure your existing spreadsheets. Whatever format your content calendar uses today, the mapper adapts to it. No reformatting required.

Step 3: Preview and Confirm

Before any post is created, you see a full preview — every row, every mapped field, any validation errors highlighted. Media URLs are validated in parallel (the system sends a HEAD request to each URL to verify it exists and is accessible, running up to 20 checks concurrently). Rows with issues are flagged: invalid date format, missing required fields, unreachable media URLs, channels that don't exist.

Fix the issues in the preview, or go back and fix the CSV. When everything looks right, hit confirm. The system bulk-inserts all posts in a single database operation and they appear on your content calendar immediately.

No post is created until you confirm. The preview step exists precisely so you never accidentally schedule 47 posts with the wrong date or a broken image link. Verify once, schedule in bulk.

Who Benefits From Bulk Scheduling

Bulk scheduling is not for everyone. If you create one post at a time, reacting to trends and news as they happen, the regular compose screen is your tool. But for these workflows, bulk is transformative:

  • Agencies — managing five clients with 20 posts each per month. That's 100 posts. Creating them one by one is a full week of work. Uploading five CSVs is an hour.
  • Content calendar planners — if your team plans content in a spreadsheet (and most do), bulk scheduling means the spreadsheet is the input. No re-typing.
  • Seasonal campaigns — a 12-day holiday campaign with one post per day across three channels is 36 posts. Build them in Excel, upload once.
  • E-commerce brands — product launches with dozens of SKUs, each needing its own social post with specific images and captions. Generate the spreadsheet from your product database and upload.

Template Download: Start With the Right Structure

The template file is an XLSX with pre-built columns, data validation notes, and example rows. It includes:

  • Caption, hashtags, title (for Pinterest and YouTube)
  • Channel name (must match your connected channel names exactly)
  • Scheduled date and time (ISO 8601 format or common date formats the parser recognizes)
  • Media URL (a publicly accessible image or video URL)
  • Brand (if you manage multiple brands)

The template is generated by a server-side builder, not a static file. If you add a new brand or connect a new channel, the template reflects it.

Entitlement-Gated: Fair Limits

Bulk scheduling is gated by two entitlements: bulk.schedule.enabled (must be true on your plan) and bulk.schedule.max_rows (the maximum number of posts per upload). These are plan-driven — a higher tier gets a higher row limit — but the platform administrator can also override the limit per tenant for special cases.

This prevents abuse (uploading a million rows to flood the schedule) while keeping the feature accessible on plans where it is useful. If your upload exceeds the row limit, the system tells you how many rows you can include — no silent truncation.

What Happens After the Upload

Bulk-scheduled posts enter the regular lifecycle. They appear on the content calendar, can be edited individually (open any post and adjust its caption, date, or media), go through the approval workflow if it is enabled, and are picked up by the scheduler job at their due time.

Failed posts are retried with the same backoff logic as any other scheduled post. Missed posts (past the grace window) are flagged. Paid channels (X, WhatsApp) charge credit at publish time, not at schedule time — so uploading 50 X posts doesn't drain your wallet immediately.

Combining Bulk With Other Features

The power of bulk scheduling compounds when combined with other LigiComms features:

  • Evergreen recycling. Bulk-schedule a batch of evergreen posts, then mark the best performers as evergreen after they publish. They'll recycle automatically on your chosen interval.
  • Hashtag groups. Prepare hashtag sets in advance and reference them in your CSV by group name (if the platform supports it) or include the full hashtag string directly.
  • Post tags. Assign tags to bulk-scheduled posts for organizational filtering — "Q3-Campaign," "Product-Launch," "Evergreen-Tips."
  • Link shortener. Pre-shorten your links using the link shortener and include the short URLs in your CSV. Every click is tracked from the moment the post goes live.

The Spreadsheet Is Your Superpower

Here is the truth nobody in the social media tool industry wants to admit: for content planning, spreadsheets are hard to beat. They are flexible, collaborative, filterable, and every person on your team already knows how to use one. The right tool doesn't replace the spreadsheet. It connects to it.

Bulk scheduling via CSV is that connection. Plan your content where you are comfortable. Schedule it where it actually publishes. No manual re-entry, no copy-paste errors, no afternoon lost to clicking "compose" thirty times.

Your spreadsheet already has the content. The publishing tool should just take it from there.
