A structured submit → review → approve cycle sits between your draft and the publish button. Every status change, comment and approval is recorded — so your team always knows where a post stands and who touched it last.

Who it is for

Any team where the person who writes content is not the same person who approves it — agencies reviewing client posts before they go live, in-house teams with a senior editor sign-off, or businesses that need a compliance check on every piece of copy before publication.

Content approval is available on the Pro plan and above. It is off by default — turn it on from Workflow Settings when your team is ready for it.

The approval flow — step by step

  1. Contributor writes a draft. Compose the post, reel, story or video as normal. The approval workflow works across all four post types from the same compose page.
  2. Send for review. Instead of publishing, the contributor clicks "Send for review". If the channel has an auto-assign rule, a reviewer is picked automatically. Otherwise a dropdown lists the eligible reviewers for that channel and the contributor picks one.
  3. Reviewer acts. The post appears on the reviewer's Review Queue. They can approve it (which queues it to publish, or publishes immediately if they also hold publish rights), request changes with a comment, or reassign it to someone else.
  4. Changes requested. The contributor sees the post returned with the reviewer's notes. They edit and re-submit — the cycle repeats until the reviewer approves.
  5. Approved → published. Once approved, the post enters the normal publish or schedule flow. A reviewer with publish rights can approve and publish in one step.

Configuring the workflow

  • Approval mode — choose any one (a single approval is enough) or all must (every assigned reviewer must approve before the post can publish).
  • Auto-assign rules — set a default reviewer per channel. When a post is submitted on that channel, it is assigned to that reviewer automatically, with no dropdown needed.
  • Reviewer access — control which team members can review which channels, and whether they also hold publish rights (approve + publish in one step) or approve only.
  • Lock on review — optionally prevent the contributor from editing a post once it has been sent for review, so the reviewer always sees exactly what was submitted.

The audit trail

Every status change — submitted, assigned, changes requested, approved, reassigned — is recorded with the actor's name, a timestamp and any comment left during the action. The full history is visible on every post's detail view under "Assignment history". Nothing is overwritten; the trail is append-only.

Admin oversight

Team leads and admins can view the entire tenant's review pipeline from a single page — all posts currently in review, who they are assigned to and how long they have been waiting. Posts can be reassigned from this view without touching the original contributor's draft. A post stuck in review for days is immediately visible and actionable.
